Different checks answer different questions

“KYC” is shorthand for know your customer. It is often used as a catch-all label, but an identity check, a payment-ownership check and a source-of-funds question are not interchangeable. Understanding which one is outstanding helps you answer the actual request.

Read the document instructions first

A passport, driving licence, household bill or bank document may serve a different purpose. The request should explain what is needed, which details must be visible, acceptable file formats and any date requirements. There is no benefit in sending every document you have when only one specific point needs resolving.

Check the destination independently. Use the operator’s official website and its documented account or support route; do not rely solely on a link in an unexpected message. HTTPS is a basic connection feature, not proof that a business is genuine. Confirm the domain and company as well.

Never provide your online-banking password, a one-time login code or a cryptocurrency recovery phrase in response to a document request. If a copy can be redacted, confirm which information the recipient needs before making changes. Do not alter names, dates or other evidence to create a misleading document.

Find the reason for a repeat request

A rejected upload needs an explanation. It might concern legibility, a missing page, an out-of-date document or a mismatch with the account, but guessing can lead to repeated submissions. Ask which requirement the previous document did not meet and what would resolve it.

Keep a small timeline: when the request arrived, what you submitted, when it was acknowledged and the reason given for any rejection. You do not need to circulate the documents themselves to explain that sequence. References and dates are usually more useful in an initial enquiry.

A quoted “verification time” needs a starting point. It might begin when all requested documents are accepted, not when the first upload was made. Ask whether anything remains outstanding and when the next update is due. Avoid interpreting a generic homepage claim as a deadline for your particular case.

Read a rejection against the request

In a fictional example, an operator asks for proof of address and rejects an upload because the address is not visible. Sending a clearer identity photograph would not answer that reason. The useful response is to confirm the accepted document types and which address details the operator needs to see.

If the reason is only “verification failed”, ask for the specific requirement that remains unmet. Keep the original request and acknowledgement together. The aim is to understand a documented requirement, not to keep adding personal information until an unexplained status changes.

Checks at withdrawal: keep the distinction

For UKGC-regulated gambling, a withdrawal must not be used to demand information that could reasonably have been requested earlier. The Commission also recognises circumstances where a legal obligation creates a need for additional information at that point. A complaint should describe the timeline rather than assume every later request has the same explanation.
